Documentation Manager for the Re-signalling and Rolling Stock Replacement (3xR) Project in Metroselskabet

Re-signalling and Rolling Stock Replacement (3xR) is a groundbreaking initiative that will replace the existing signalling system and trains on the M1 and M2 metro lines. This highly complex project involves introducing a state-of-the-art driverless signalling system and 42 new metro trains by 2035. All while keeping the system running 24/7. The 3xR project is key to maintaining Copenhagen Metro’s high standards of safety, reliability, and sustainability.
As Documentation Manager, you will refer to the PMO Lead and play a pivotal role in ensuring the structured, traceable, and high-quality documentation of all project activities and deliverables. You will be the driving force behind maintaining the documentation management framework across internal teams and external contractors, ensuring a shared and disciplined approach to records and information lifecycle.
Key Responsibilities
Documentation Management
- Own and maintain the 3xR Documentation Management Plan
- Ensure consistent implementation of documentation processes across workstreams and contractors
- Monitor document deliverables in line with ATRs and maintain the Master Document Register
- Perform quality control on project documentation: structure, format, metadata, versioning
- Maintain the Documentation Master List and ensure accurate naming and classification of documents
- Manage the structure and integrity of the ACC repository, supported by the project Archivist
System and Access Management
- Act as key user for the ACC document management system
- Manage user roles, permissions, and access rights
- Provide training and day-to-day support to Metroselskabet and Joint Venture (JV) users
- Liaise with Metroselskabet’s DIT ACC Administrator to resolve technical and operational issues
Review Process Oversight
- Track and report on the performance of the documentation process during project execution
- Monitor adherence to documentation schedules and review cycles
- Create dashboards and raise alerts on deviations or delays
- Support workstreams in planning and executing document review cycles aligned with project milestones
- Log all review stages in ACC and ensure that approved versions are correctly stored
About you
- You have a minimum of 5 years’ experience in documentation management, ideally within large infrastructure, rail, or engineering projects.
- You have strong understanding of document control systems, preferably ACC or similar platforms.
- You have excellent attention to detail, with the ability to enforce structure and consistency across documentation.
- You have strong collaboration and communication skills, especially in a multi-stakeholder environment.
- You are fluent in English
